Step 1: Decide who will use the system
QuickBooks Online plans are priced mainly by the number of users and the depth of features. Start by listing everyone who needs access: owners, bookkeepers, sales staff who raise invoices and your external accountant. One login per person is best practice, because it keeps an accurate record of who entered each transaction and lets you limit what each person can see.
Step 2: Choose the right plan
Match your list of users and needs to the plan that fits today, with a little room to grow. You can upgrade later without losing data, so there is no need to pay for features you will not use in the first year.
- Simple Start: 1 user, ideal for sole traders who need invoicing, expenses and basic reports
- Essentials: 3 users plus your accountant, adding supplier bills and more collaboration
- Plus: 5 users plus your accountant, adding inventory, projects and budgeting
- Advanced: 25 users plus your accountant, for larger teams that need custom reporting and more control
Step 3: Check the country edition
QuickBooks Online is sold in different regional editions, and the edition affects tax settings, currency options and report formats. The Site Weavers supplies the UK edition, which suits Tanzanian businesses well because it supports VAT style tax codes, multi-currency on selected plans and familiar international reporting. Choosing the edition carefully at the start matters, because a company cannot simply be moved to another country edition later.
Step 4: Request your subscription and pay in shillings
This is where buying locally saves real time. Instead of fighting international card payments on an overseas website, choose your plan on our QuickBooks page and send the request. We confirm the plan, issue an invoice in Tanzanian shillings and help you complete payment locally. Prices on our site are shown as monthly equivalents and billed annually, so you know the full cost upfront and avoid surprise charges in foreign currency.
- Pick a plan on the QuickBooks page and click its button
- Share your business name, contact person and business email
- Receive a shilling invoice for the annual subscription
- Complete payment and receive activation details for your account
Step 5: Activate and secure your account
Activate the subscription with an email address that belongs to your company rather than a personal free mail account. If the person who set up the account leaves, ownership should stay with the business. Turn on two step verification, store the login in a company password manager and put the renewal date in a shared calendar. If you do not yet have email on your own domain, our hosting plans include unlimited email accounts, so you can sort out both at the same time.
Step 6: Set up your company
A clean setup saves hours later. Enter your legal business name, TIN and address, choose your financial year start and enable VAT if you are registered. Confirm your home currency before recording any transactions, because it cannot be changed once multi-currency is switched on. Then review the chart of accounts with your accountant before you record anything.
- Company details, logo and invoice layout
- Home currency and any foreign currencies you use
- VAT settings and tax codes
- Opening balances for bank accounts, customers and suppliers
- The products and services you sell
Step 7: Train the team and go live
Pick a clear start date, ideally the first day of a month, and record every new transaction in QuickBooks from that date. Run the old system in parallel only briefly, if at all. A short session on raising invoices, recording expenses and reconciling the bank account is usually enough to get a small team confident, and your accountant can handle the technical adjustments.
Renewals and upgrades
Your subscription renews annually. Contact us a few weeks before the renewal date so access continues without interruption and your books never lock in the middle of a busy month. If your team grows during the year, you can move up a plan and keep all your existing data, invoices and reports.
